Position Overview

We are seeking a values-aligned, dedicated team player to serve as Executive Support to the CEO. This person will be the primary contact for internal and external stakeholders on all matters pertaining to the CEO. The Executive Support Specialist will serve as a liaison to the board of directors and leadership team; organize and coordinate executive outreach efforts; manage executive communications; support and maintain ongoing relationships; and oversee special projects. The ideal individual will exercise good judgment in a variety of situations, with excellent written and verbal communications, administrative and organizational skills, and the ability to maintain a balance among multiple priorities. This role requires a highly resourceful individual with strong emotional intelligence, self-motivation, and interpersonal skills.

Responsibilities Include

Executive Support

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Communicates directly and on behalf of the CEO with donors, staff, and others on matters related to CEO’s initiatives, making judgements in line with the CEO’s direction/strategy.
  • Proactively identifies issues that could impact the successful execution of the CEO’s commitments and responsibilities, following up appropriately.
  • Acts as a “barometer,” having a sense for the issues taking place and keeping the CEO updated.
  • Provides a bridge for smooth interactions between the CEO and internal staff.
  • Supports the leadership team’s communications with the CEO by raising critical issues and coordinating appropriate feedback.
  • Plans and coordinates the CEO’s extremely active calendar of appointments and keeps track of multiple projects at the same time.
  • Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships.
  • Completes a broad variety of administrative tasks, such as printing and assembling materials, email management, expense reporting, and arranging complex and detailed travel plans, itineraries, and agendas.
  • Prioritizes conflicting needs; handles matters expeditiously, professionally, and proactively; and sees projects through to successful completion, often with deadline pressures.
  • Keeps up with industry trends by reading literature and communicating with peers.

Board Support and Liaison

  • Serves as the CEO’s liaison and administrative support to board of directors. Facilitates communication, plans events, distributes information, drafts agendas, schedules meetings, and records minutes.
  • Maintains discretion and confidentiality in relationships with all board members.

Communications

  • Well-versed in writing clear, concise and compelling correspondence, speeches, presentations, and announcements. In some instances, acts as liaison with outside business organizations and industry associations.
  • Responds to and follows-up on requests for communication and informational materials.
  • Ensures that the CEO’s professional communication materials are kept contemporary.

Specific Skills/Qualifications Needed

  • Highly developed communications skills (written/verbal).
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated proactive, strategic approaches to problem-solving with strong decision-making capability.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Commitment to continuous learning and ability to accept and give constructive feedback.
  • Passion for Incourage’s mission and commitment to organization’s stated values of equity, opportunity and shared stewardship.
  • Bachelor’s degree and 5+ years of experience supporting executive-level management.
  • Experience and interest in communications, human resources, nonprofits, and fund raising preferred.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
